How to Add Specific Tasks to the Client Portal Roadmap


The Client Portal Roadmap helps clients follow the important milestones of their transaction. For each task on the Roadmap you can include an explanation, recommend a service provider, and show when the task is complete.


Previously, only Key Dates appeared on the Roadmap — which meant some Key Dates showed up that didn't need to, while some non-Key-Date tasks were missing. Now you control exactly which tasks appear.


This does not change how Key Dates appear in your calendar, the "Next Key Date" column, or the Key Date widget on the Transactions page.


Adding tasks to the Roadmap


You can add any Standard Task or Appointment Task to the Roadmap:


  1. Open a Standard or Appointment task in a transaction or workflow.
  2. Check the Portal Roadmap box.



  1. Choose to reuse the Task Description in the portal, or write a custom description to show alongside the task.



If you uncheck "Use Task Description in Portal," a separate messaging block appears for custom text.



Email and SMS tasks can't be added to the Roadmap, so they don't have this checkbox.


Roadmap task example


Task Name: Schedule Home Inspection

  • Key Date: unchecked
  • Portal Roadmap: checked
  • Roadmap Details: "Reach out to schedule your whole-house inspection as soon as possible. Recommended inspectors are listed below."


This task appears on the Client Portal Roadmap but not in the Key Date widget, Key Date calendar, or "Next Key Date" column.


Default settings


To make the transition from Key Dates to the Roadmap smooth:


  • Every existing Standard/Appointment task now has a Portal Roadmap checkbox.
  • Tasks that were already Key Dates were automatically marked Portal Roadmap too.
  • "Use Task Description in Portal" is checked by default, so your existing descriptions carry over until you edit them.
  • New Standard/Appointment tasks have Portal Roadmap unchecked by default.


Managing Roadmap tasks


  • Manage Roadmap tasks in the Client Portal tab of each transaction.
  • Roadmap tasks appear in a read-only list; click any task title to edit it.
  • Use Mass Update to check or uncheck Portal Roadmap for many tasks at once.
  • A Roadmap icon appears next to any task on the Roadmap.



Select one or more Service Providers to recommend alongside any Roadmap task.



To remove a task from the Roadmap, open it and uncheck Portal Roadmap, then save.


Adding video to a Roadmap task


Any Roadmap task can include an optional video. Add a YouTube or Vimeo link and Nekst displays it inside the client portal.


  1. Open the task (ideally in your Workflow so it carries to future transactions).
  2. Make sure Portal Roadmap is checked — only Roadmap tasks display video.
  3. Scroll to the Roadmap description section.
  4. Paste a YouTube or Vimeo link in the Roadmap Video Link field.



What your client sees


Your client sees the Roadmap task, your description, and the embedded video playing right inside the portal — which keeps them informed and cuts down on extra emails and follow-up questions.
