Managing Information you Track using Detail Boxes

Detail Boxes


Detail Boxes are the individual pieces of information that you store for each type of transaction. Nekst is designed for users to manage transactions and processes that fall under 6 different categories. We call these 6 categories, "Types":


  • Listings
  • Pending Buyers
  • Pending Sellers
  • Pending Dual
  • Active Buyer
  • Other (Processes)


For each Type, you typically want to track different information. For Listings, you don't need to track pending details since you are not under contract. For Pending Buyers, you don't need to track listing details. And for Other processes, like Agent Onboarding or Marketing processes, you don't need to track any transaction information.


As a result, each "Type" of transaction will have it's own list of important dates, details and information in the form of Detail Boxes.


How To Create A Detail Box


Creating, editing and removing boxes is simple. We provide a list of default Detail Boxes for each Type for users to build from. To access a list of Detail Boxes, go to "Settings" -> "Markets & Processes" (https://app.nekst.com/settings/markets), then click on the name of the market you would like to add/edit the detail boxes.







For each box you create, you can choose the format of the box to contain one of the following:


  • Text - ideal for short names/details, percentages, non-currency numbers
  • Long Text - perfect for long lists or paragraphs of information
  • Dates - for tracking dates in xx/xx/xxxx format
  • Currency - for tracking currency terms, ideal for managing commission, sale prices, splits, etc


Once you've created your list of Detail Boxes, you can drag each Detail Box on this page to create the ideal order for how you would like this information to appear.



Hide Unnecessary Detail Boxes

If there’s information you don’t need to see (like personal property or loan type), simply hide it to keep your workspace clean, by clicking the pencil icon to the right of the Detail Box and change the visibility to "Hide".



Add Custom Detail Boxes

If there is additional information you want to track (like Commission Split, Lockbox Code, or anything else!), you can add a Detail Box using any of the 4 formats - Date, Currency, Text or Long Text - by clicking the blue button titled ( + Add Detail Box) at the top right corner of the list. Then providing a name and format type in the modal.






With Markets, you can skip the setup headaches and start managing your transactions right away — knowing everything is aligned with your local contracts and ready to use.



Accessing the Detail Boxes for an Individual Transaction


Each transaction will have a different list of values for each Detail Box. You can access your Detail Boxes by going to the individual transaction page, clicking the ( OPEN... ) button and selecting "Details"


This will take you to the complete list.





From here, you can click the "Edit" button at the top to manually enter information into any of these fields.





Auto-populating Information into Detail Boxes


There are three ways to add information into the Detail Boxes for a transactions:


  1. You can add every date, text or currency item individually from the /Details page
  2. You can link a Detail Box to a Task so when a workflow is launched, the associated date auto-populates
  3. You can upload a contract or listing agreement and associated details will populate


It's important that the Deadline/Due Date for your Tasks align with the Deadlines shown in your Detail Boxes for each transaction. So rather than updating task due dates and Detail Boxes separately, you can link a task directly to a Detail Box from the "Workflows" page, to ensure that both dates always match.





As you begin to link tasks to the eligible (Date Format) Detail Boxes, they will disappear from the dropdown because each Detail Box can only be linked to 1 task. There will be a Section Called "Detail Box - Dated" on the right side of the workflow page that summarizes all of the Linked Tasks with their corresponding detail boxes.





Detail Boxes with a Parent Task


Some Detail Boxes have a "Parent Task", meaning that they come due a number of days after another deadline is completed (e.g. "Response to Inspection Addendum" is due 3 days after the "Inspection Deadline")


As a result, there may be some Detail Boxes that are ONLY able to be added to Dependent Tasks which are linked to the Parent Detail Box.


Detail Box Example:

Detail Box 1: Inspection Contingency Deadline (Typically 7 days after contract execution)

Detail Box 2: Inspection Settlement Deadline (Typically 3 days after the "Inspection Contingency Deadline")


These 2 detail boxes have a relationship to one another. You can only access the Detail Box called "Inspection Settlement Deadline" IF:

  1. You first create a Task and link it to "Inspection Contingency Deadline"
  2. Create a DEPENDENT Task from the task above, where you can then link to "Inspection Settlement Deadline"




Once a Workflow is launched using Linked Tasks, the dates will auto-populate on the Details Page with chainlink icons. These dates can only be changed by manually changing the due date for the task, which can either be accessed from the "Tasks" page or by clicking the chain link icon to instantly display the task.






Using Detail Boxes as Smart Tags

Any Detail Box you create can now be used as a Smart Tag, to auto populate information in your Email and SMS tasks. In the body of your message, simply type a hashtag (#) followed by the name of the box.








FAQ


Can I link an Email or SMS task to a Detail Box?

Not at this time. However, you can create a standard task to represent the Important Date and a Dependent Email or Dependent SMS Task to represent the communication component.


If I create a new Detail Box, will my existing transactions be updated with the new box?

Yes! The box will appear. However, any linked tasks that are created in the Workflows page will not automatically be applied to all existing or previous transactions.


What happens if I delete a Detail Box after I create it?

If you have any Transactions actively using the Detail Box, you will be given a Warning message before deleting the box. This will not remove the linked task.



Why can't I delete some of the Detail Boxes from the list?

There are some boxes that we require for the Transactions page and for Commission tracking to function properly
