Creating the Right Task Groups

Task Groups Overview


A Task Group is a set of tasks that share the same label and work together to form a process inside a Workflow. Think of it as a folder that keeps related tasks organized.


  • You can create your own labels and edit or remove existing ones.
  • Each Task Group can be given a custom color so it’s easy to identify in long lists.
  • Task Groups can be used across any Transaction Type.


They’re especially helpful when a certain part of a transaction doesn’t apply. For example, if a contract doesn’t include inspections, financing, or an HOA, you can remove that entire Task Group with one click — instead of deleting tasks one by one.



Task Groups can be edited from the “Setup” page and used across any Transaction Type. You can create a custom color for each Group to help identify groups amongst a large list of tasks. Task Groups are extremely helpful when building out a Workflow. 




Why Use Task Groups?


  • Faster workflow building – Build one part of the process at a time (e.g., Inspections, Financing, HOA).
  • Easier filtering – On the Workflow page, you can filter to view only tasks in a specific group.
  • Smarter customization – When creating a new Transaction, you can remove whole groups (like Inspections or HOA) to fit the exact contract in a single click.





When creating a new Transaction, you can remove entire groups of tasks should the contract not include Inspections, an HOA, Financing, etc.  This way, you have a custom tailored Workflow for each unique transaction.



How to Build Workflows with Task Groups


  1. Start small – Pick one part of the process (e.g., Inspections).
  2. Create a Task Group – Add deadlines, reminders, emails, and SMS tied to that process.
  3. Repeat – Move on to the next group (e.g., Financing, HOA, Pool).
  4. Filter & edit – Use the Workflow filter to quickly review tasks by group.

Tip: Each task can only belong to one Task Group.



Quick Example: Let’s say you’re creating a Workflow for a property without a pool. Just remove the “Pool” Task Group, and all pool-related tasks disappear — leaving you with a clean, custom Workflow.

Quick Tip: A Task can be a member of ONLY ONE Task Group.
