Building a Workflow(s) for a Listing
If your listing process feels too long or confusing, you’re not alone.
Many agents try to fit everything — from prepping for a listing appointment to going under contract — into one massive workflow.
But here’s the truth 👇
The most successful users in Nekst break their listing process into three smaller, more manageable workflows.
This keeps your timelines clear, your start and end dates accurate, and your processes easy to follow.
✳️ Workflow 1: Pre-Appointment Workflow
This workflow is for planning before your listing appointment — when you’re gathering details, prepping materials, and organizing your presentation.
🕒 Recommended Dates:
Start Date → Today (or the day you begin prepping for the appointment)
End Date → Date of Listing Appointment
📋 Example Tasks:
- Confirm appointment with seller
- Prepare CMA and listing presentation
- Pull sales statistics
- Print out Pre-listing Packet and mail to house
💡 Once the appointment is complete and the seller agrees to list, you’ll move to the Pre-Listing Workflow.
✳️ Workflow 2: Pre-Listing Workflow
This covers everything from the moment the seller agrees to list until the property is ready to go live in the MLS.
🕒 Recommended Dates:
Start Date → When seller chooses to list, signs the agreement, or when prep begins
End Date → Listing Live Date (MLS activation)
📋 Example Tasks:
- Sign listing agreement
- Coordinate cleaning, staging, or repairs
- Schedule professional photos
- Write listing description and upload documents
- Confirm MLS input date
💡 Once your listing is active in the MLS, move into the Listing to Expiration Workflow.
✳️ Workflow 3: Listing to Expiration Workflow
This workflow begins when your listing goes live and continues through the listing expiration (or until it goes under contract).
🕒 Recommended Dates:
Start Date → Listing Live Date
End Date → Listing Expiration Date
📋 Example Tasks:
- Schedule open houses and showings
- Send weekly activity reports to seller
- Publish listing on Social Channels
- 7-day Reminder before Listing Expiration
💡 If your seller accepts an offer, you’ll archive this workflow and create a New Transaction for the Pending Seller. Doing so, will allow you to come back to your Listing Workflow should the pending deal fall through.
