🧭 How to add Specific Tasks to the Client Portal Roadmap
The Client Portal Roadmap helps clients follow important milestones throughout their transaction. We are able to provide clients with an explanation of each task on their Roadmap, provide a Recommended Service Provider and signify when the Task has been completed.
Previously, only Key Dates appeared on the Roadmap — but some Key Dates didn't need to be on the Client Roadmap, while some non-Key Dates were missing.
With this update, you now have full control over which tasks appear on the Client Portal Roadmap.
This change does not affect how Key Dates appear in your calendar, "Next Key Date" column on the Transactions Page, or within the Key Date widget at the top of the Transactions Page.
⚙️ Adding Tasks to the Roadmap
You can now add any Standard Task or Appointment Task to your Client Portal Roadmap.
To add a Standard Task:
1️⃣ Open a Standard Task in a transaction or workflow.
2️⃣ Check the box labeled Portal Roadmap.

3️⃣ As we transition from relying on Key Dates, you have the option to "Copy" the Description used in the Task Description - OR - create a custom description to display alongside this task in the Client Portal.

If you uncheck using the "Task Description in Portal", a new Messaging block will appear:

📝 Roadmap Task Example
Task Name: Schedule Home Inspection
- Key Date: Unchecked
- Portal Roadmap: Checked
- Roadmap Details: “You should reach out to schedule your Whole House inspection asap. Below are recommended Inspections you can call.”
This task will now appear in the Client Portal Roadmap but will not appear in the a) Key Date widget at the top of the task list, b) Key Date calendar, or c) the Next Key Date column on the Transactions page.
📋 Default Settings
To make the transition from "Key Dates" to "Roadmap" as seamless as possible, we have taken the following steps:
✅ All existing Standard Tasks now include a Portal Roadmap checkbox.
✅ If a task was already a Key Date, it has been automatically marked as Portal Roadmap too.
✅ The box "Use Task Description in Portal" is checked by default. All of your Task Descriptions will be added to the portal until you manually update the Descriptions - should that be of interest
✅ New Standard Tasks will have the Roadmap box unchecked by default.
🧩 Managing Roadmap Tasks
- Just like with Key Dates on the Portal - you can manage Roadmap Tasks in the Client Portal tab of each transaction.
- Tasks that appear on the Roadmap are listed in a read-only view.
- Click any task title to open and edit it.
- Use Mass Update to quickly check or uncheck the Portal Roadmap box for multiple tasks.
- A new Roadmap icon appears next to any task included on the Portal Roadmap.
Below is an example of the list of Roadmap Tasks within a Client Portal Setup page.
You can edit the name, description & due date by clicking on the Task Name.

You can select a single or multiple Service Providers to appear as a recommendation alongside any of these Roadmap tasks.
