Building your First Workflow

To bring your contracts to life, build a Workflow to mirror the process that takes places on and around each important deadline. Creating your process establishes a full-service approach to consistent communication and prevents missed deadlines.


Every Agent, Team and TC has their own process for handling transactions. The approach can range from a basic, limited-service experience to an over-the-top full service bonanza!


You can use Nekst to build the process that is right for you. To get started, here are three ways to put workflows to work in your business:


  • Key Dates Only Workflow — Tasks and deadlines based on the contract deadlines that Nekst AI extracts after you upload your contract. Perfect for users who don't need a lot of tasks and just want to remember the important stuff.


  • Implement your Custom Workflow from Scratch — Build a robust workflow using any combination of tasks, linking each deadline task to its Detail Box and based on a SOP that you've already perfected. Ideal for users who already have a documented, well-designed system in place.


  • Edit an Existing Workflow — Use one of our local market Workflows and adjust our Tasks & Emails to align with your business. Perfect for users who manage their process in their head and can build a task list on top of our pre-loaded Workflows.


Key Dates Only Workflow


If you only want to manage contract deadlines, open a pre-loaded Workflow and turn on the Key Dates Only filter on the right side to show just those tasks. To clear everything else, uncheck the filter and use Mass Update to delete all tasks not marked as a Key Date.




Implement your Custom Workflow from Scratch



For a more robust process, build a Workflow from scratch using any combination of Standard, Email, SMS, and Event tasks. Click + Create New Workflow on the Workflows page and enter:


  1. Workflow Name
  2. Type — Pending Buyer, Pending Seller, Listing, etc.
  3. Market — the contract (group of Detail Boxes) you want to associate with this Workflow.


Tips for building a new Workflow


  • Set an estimated due date for each task (e.g., 3 Days After Start Date) to create an approximate order as you add more tasks. Linking a task to a Nekst AI–generated deadline lets it adjust automatically to match the contract. If Nekst AI can't read a term and you enter it manually, most of your dates will still line up.
  • When a Standard Task represents a contract deadline, connect it to the Detail Box using the Link to Detail Box dropdown.



  • Create Dependent or Proceeding Tasks for a stair-step approach to managing a process.
  • Use SmartTags in your Email Tasks so contract details fill in your pre-written emails automatically — saving you from retyping the same information.


Edit an Existing Workflow


You may prefer to edit a pre-loaded Workflow to match your contract and process. Our pre-loaded Workflows won't match exactly how real estate is handled in your area or how you run your business, so it's highly recommended that you review each task: update terminology, add or remove tasks, adjust the Link to Detail Box selections, and update any Email and SMS messages that use SmartTags — for full accuracy and so communication comes from your voice!


It takes some effort, but it's often faster than building a Workflow from scratch.

FAQ


Why isn't my Workflow showing up when I upload a contract to create a Transaction?


Two common causes:


  1. Type mismatch — Your Workflow is associated with a "Pending Buyer" process, but you're trying to create a new transaction under the "Pending Seller" category. You'll want to create a similar but different Workflow designed for the other side of the transaction.
  2. Different Market — You built the Workflow under a different Market. Copy it from the original Market into the new one. You can copy a Workflow into a new Market by following these steps.
