Building a Workflow(s) for a Listing
If your listing process feels too long or confusing, you're not alone.
Many agents try to cram everything — from prepping for the listing appointment to going under contract — into one massive workflow.
But here's the truth 👇
The most successful Nekst users break their listing process into three smaller, more manageable workflows. This keeps your timelines clear, your start and end dates accurate, and your process easy to follow.
With Nekst's multiple-workflow support, you can add each of these workflows to the same transaction as you move through your listing process.
✳️ Listing Workflow 1: Pre-Appointment Workflow
For planning before your listing appointment — gathering details, prepping materials, and organizing your presentation.
🕒 Recommended Dates:
Start Date → Today (or the day you begin prepping)
End Date → Date of the Listing Appointment
📋 Example Tasks:
- Confirm appointment with seller
- Prepare CMA and listing presentation
- Pull sales statistics
- Print the pre-listing packet and mail it to the house
💡 Once the appointment is done and the seller agrees to list, add the Pre-Listing Workflow from the Transaction page: click Add → Workflow to apply it as a secondary workflow.
✳️ Listing Workflow 2: Pre-Listing Workflow
Covers everything from the moment the seller agrees to list until the property is ready to go live in the MLS.
🕒 Recommended Dates:
Start Date → When the seller agrees to list, signs the agreement, or prep begins
End Date → Listing Live Date (MLS activation)
📋 Example Tasks:
- Sign listing agreement
- Coordinate cleaning, staging, or repairs
- Schedule professional photos
- Write the listing description and upload documents
- Confirm the MLS input date
💡 Once your listing is active in the MLS, add the Listing to Expiration Workflow using Add → Workflow.
✳️ Workflow 3: Listing to Expiration Workflow
Begins when your listing goes live and continues through expiration (or until it goes under contract).
🕒 Recommended Dates:
Start Date → Listing Live Date
End Date → Listing Expiration Date
📋 Example Tasks:
- Schedule open houses and showings
- Send weekly activity reports to the seller
- Publish the listing on social channels
- 7-day reminder before listing expiration
💡 If your seller accepts an offer, you have two options depending on your transaction types:
- Same Type: Add a Pending Seller workflow using Add → Workflow.
- Different Type: Create a new Transaction for the Pending Seller. This also lets you return to your Listing Workflow if the deal falls through.

💡 Quick Tips
- Name each workflow clearly — e.g., "Listing 1: Pre-Appointment," "Listing 2: Pre-Listing," "Listing 3: Active Listing."
- Link to the right Market so your dates adjust automatically when launching new transactions.
- When adding a workflow mid-transaction, uncheck Use Current Dates if the new workflow has different Start and End Dates than the original.
