Appointment Tasks (formerly Event Tasks)

Appointment Tasks are designed for any scheduled appointment related to a transaction — such as showings, inspections, walkthroughs, or closings.


Unlike standard tasks, Appointment Tasks include date and time fields and automatically generate a calendar invite using the Google Calendar API. This makes it easy to coordinate with clients and service providers while keeping your Nekst workflow connected to your personal calendar.


Creating Appointment Tasks


You can create an Appointment Task directly from a transaction, or add one to a workflow as a placeholder for a future appointment.

For example:

  • Create an Appointment Task called Home Inspection
  • Add details in the task about the inspection process or service provider
  • When the inspection is scheduled, simply assign a date and time, and Nekst will generate a calendar invite automatically
  • You can update or cancel the appointment directly within Nekst, and it will sync to your calendar automatically

Initial Setup


Nekst allows users of Gmail Calendars to integrate their calendar with Nekst. As Appointment Tasks change, your calendar will automatically update. You can also see details on which invitees have opted into the Appointment.


To link your personal Gmail Calendar with Nekst, go to Settings -> Calendar Integration

Then click the button on the Calendar Integration Page to sign in and link your Gmail account. **You will need to agree to Google's Terms of Service and accept that Nekst will be accessing your calendar to perform this function. **


Once complete, you will get a confirmation message. You can link and unlink your calendar at anytime.




Creating an Appointment Task


To Create an Appointment Task, simply select "Appt Task" from the Task Dropdown on either the WORKFLOWS Page or the TASKS/TRANSACTION-NAME page.




Complete the details for the Appointment, including:


  • Appointment Name
  • Date & Time (only available on Active Transactions, not in a Workflow template)
  • Location (if applicable)
  • Add a Description (if applicable)
  • Insert SmartTags to personalize the description with custom transaction information
  • And Select the Parties you wish to Invite to the Event








Once you create the Invite, it will appear as a "Task" on your To-Do list, with a Due Date that matches the Appointment Date.


The Task will have a Calendar icon to the left of the Task Name. You can also Filter by Appointment Tasks to see only your upcoming appointments.




Those Invited to the Appointment will receive a Calendar Invite Email:


The Sender will also see the Calendar Appointment synced to their Gmail Calendar if the Gmail integration is configured. If not, the sender will receive their own invite email at this time.






Frequently Asked Questions:


What happens if I delete an Appointment Task?

This will delete the Appointment from all invitees calendar.



What if I change the date or time?

The Invitees will receive an email with the updated time change and the event will shift automatically on their calendar.


Can I add new Invitees after creating the Appointment Task?

Yes - open the Appointment Task and add new recipients and click "Update". This will trigger an Email Invite to those newly added Invitees.



What happens when I check off the Task as Complete?

This simply removes the task from your "To Do" list. It does not impact the Invitees calendars in any way.



Can I create an All-Day Appointment?

Yes you can, just don't include the Start and End Times.



Will the Task Day & Time appear on my Nekst Calendar?

Nekst calendars do not currently support "Times of Day" because so many tasks do not include a time. All Start and End times will sync with 3rd party calendars, but they currently do not display separately from all day tasks when looking at a Nekst Calendar.
