Associated Contacts: Bring the Right People Along Automatically


Some people always work together. A lender brings their processor. An agent brings their transaction coordinator. A title rep brings their processor.


Associated Contacts lets you record those pairings once, on a contact's record. From then on, whenever you add that contact to a transaction, the people paired with them are added too, automatically, in the roles you chose. No more adding them one at a time, and no more forgetting one.


Where to find it


Open any contact record (from the Contacts page, or by clicking a name inside a transaction). You'll see an Associated Contacts section on that record.


Add an associated contact


  1. On the contact record, find the Associated Contacts section and click + Add.
  2. Choose the Type first. This decides who you can pick and which roles are available:
  • Transaction Party is any contact in your account.
  • Team Member is someone on your Nekst team. Team Member associations can be given the Editor or Viewer roles.
  1. Pick the Contact you want to pair.
  2. Choose one or more Role(s) that contact should be given.
  3. Optionally check Add to Client Portal (more on this below).
  4. Click Add.


The pairing now lives on the contact's record. In the example below, the lender Billy Lenderguy is paired with Sally Johnson, who will join as a Transaction Party in the Loan Processor role.




What happens when you add that contact to a transaction


When you add someone who has associated contacts, Nekst lists those contacts in the add form before you submit, already checked.


Doing nothing is the normal case. Everything listed comes along. If one of them doesn't belong on this particular transaction, uncheck it. It's skipped this one time only, and the pairing on the contact record stays exactly as it was.




This preview appears in the two places you add people on the web: the Add Person form and the bulk Assign Roles popup for team members.



Each person joins in their own capacity


The capacity follows the pairing, not the person who triggered it.


If Billy is added as a Transaction Party but Sally's pairing is set to Team Member, Sally still joins as a team member with task access. You decide the capacity once, when you record the pairing. Nekst never guesses it from how the first person was added.


Add to Client Portal


Checking Add to Client Portal on a pairing means that person is shown on the transaction's client portal page, listed under Team Members or Transaction Parties with their roles.


It does not create a login or give them access to anything. The portal is still reached through its own link, exactly as before.


One note: a team member whose only role is Editor or Viewer won't appear on the portal, because those two roles are hidden from clients. Give them a real role as well if you want them listed.


Edit or remove a pairing


  • Edit. Click the pencil on the pairing to change its type, contact, roles, or Client Portal setting. Changes apply to future transactions only. Anyone already added stays as they are.
  • Remove. Click the trash icon. This only stops future transactions from picking that contact up. It does not touch any transaction they were already added to.




Good to know


  • It never chains. If Billy is paired with Sally, and Sally is paired with someone else, adding Billy brings Sally and nothing else. Only one level is applied, so a single add stays predictable.
  • Nobody is added twice. If an associated contact is already on the transaction in a role their pairing names, nothing is duplicated.
  • It's not retroactive. Recording a pairing today does not add anyone to transactions that already exist. It applies the next time that contact is added.
  • One bad pairing never blocks the rest. If a single associated contact can't be added, the person you actually asked for is still added, and so is everyone else on the list.
  • A retired role is skipped, not broken. If a role on a pairing has been retired, that role is passed over. If the pairing has other live roles, the contact is still added under those. If every role on it was retired, that contact is skipped and shown struck through on the record so you know to fix it.
