Task Groups: Linking Multiple Tasks Together for Easy Plan Building & Launching new Transactions



Within each action plan, you can now group tasks together that all relate to a certain component of your Action Plan, such as "Inspection Related Tasks" or "Post Closing Occupancy" tasks.



HOW TO CREATE GROUPS



Step 1: Add the Group From the Setup Page - You can create as many groups as you want, which can be used for any Property Type. You can also associate a "Color" with each group. Once the name of your Groups are added, you can begin grouping tasks together using the "Mass Update" function on the Plans page.



*Step 2: Use the "Mass Update" button from the Plans* - Select any Action Plan from the Plans page and select applicable tasks from the list. Once all tasks are selected, click the green [ GROUP ] button and select the Group from the list.



*Step 3: Use the Filter on the right side* - Should you wish to see just the tasks associated with a group, use the filter on the right side to toggle between groups and ungrouped tasks.








Grouping tasks helps you in two major ways:




EFFICIENT REMOVAL OF UNNECESSARY TASKS WHEN LAUNCHING A NEW TRANSACTION



An Action Plan template will rarely line up perfectly with a real estate transaction. Whether it's a change in deadlines, lack of an HOA or a waiving of contingencies, the process of modifying a template to match a real estate transaction can be cumbersome.

Rather than scanning through an entire list of tasks and removing unnecessary tasks one at a time, Task Groups makes it easy to eliminate a complete combo of standard, email and SMS tasks with a single click.

For example., if a buyer were to waive their inspection contingency, you can easily remove those key dates as well as any associated tasks in 1 click.





BUILDING WORKFLOWS



As you create your step-by-step Action Plan for a Pending Buyer, Listing, New Team Member Onboarding, etc, it might help you to build out your processes by first focusing on the major steps involved.

For Example, a Pending Buyer Action Plan till typically include these contingencies:

- Financing
- Inspections
- Appraisal
- Home Owner Association

(These contingencies can also be used as names for Tasks Groups)


If we start with "Inspections", we know that we need to include the important contract dates related to the Inspection Contingency, such as:

- Inspection Deadline
- Deadline for the Seller's Response to our request for Repairs/Credits

But there are also should be some supporting tasks, reminders and communication around these tasks, such as:

- Send inspector recommendations to client for scheduling
- Send a reminder 1 day before the Inspection Contingency ends
- Remember to send the addendum to the lender should any credits be negotiated
- Ask for receipts from repairs
etc

You can build out powerful action plans by focusing on each group and building your reminders and followups until you have a robust, killer action plan to follow!

A Task can only belong in 1 Group
Any dependent tasks will automatically be included in a group that includes the primary task
