Creating a Workflow for your Team
There are 3 ways to create a Workflow:
Create a Workflow From Scratch
Copy a Pre-Loaded Workflow and customize it to fit your Transaction
Build a complete Workflow using the "Tasks From Contract" Workflow, which is a basic framework of the Deadlines of your Purchase Contract
In this tutorial, we will break down the recommended process for Building a Workflow from the Contract Framework called "Tasks From Contract"
Step 1: Ensure Custom Roles and Groups have been created in the Setup Section
Step 2: Work through each Pre-Loaded Task which is linked to a Contract Deadline to add supporting tasks, reminders and follow-on tasks
Create Reminder Tasks in Advance
Create Dependent Tasks for a First-This-Then-That process
Assign Tasks to the appropriate Team Member Role
Step 3: Utilize a combination of Email Tasks & SMS Tasks, along with Smart Tags, to send messages to any transaction party throughout the workflow
Instead of creating a task called "Send Email to xxxxx about xxxxx", consider creating an Email or SMS task with the actual message
Utilize SmartTags to personalize your Email & SMS Tasks to save you even more time when launching a new Transaction
Step 4: Utilize the Filter & Mass Update functionality to update tasks in mass and isolate tasks pertaining to certain groups
Using the Mass Update Functionality, you can assign a bulk number tasks to a certain role, group them together, make important tasks a "Key Date" and more!
Be sure to utilize the Filter options on the right side for different views of Tasks & to Isolate tasks by Team Member
