# Custom Stages: Track Where Each Transaction Stands

Custom Stages let you tag each transaction with a label of your choosing — Inspections, Clear to Close, Awaiting Financing, whatever fits your pipeline. Stages appear as colored pills on the Transactions list and on each transaction page, and you can filter by Stage. Your stages also show up on the **All Tasks** page and calendar, so you can tell which deal a task belongs to — and filter your task list by stage — without opening the transaction.

Stages are separate from a transaction's **Status** (Active, Closed, Archived). Status is the lifecycle state in Nekst; Stage is your own label for where it sits inside that lifecycle.

## Who can do what

* **Account Owners and Admins** — create, rename, recolor, reorder, and delete Stages
* **All team members** — assign a Stage to any transaction they can access

## Create your Stages

1. Go to **Settings → Setup →** [**Transaction Stages**](https://app.nekst.com/settings/transactionstages).
2. Click **Add Stage**.
3. Type a name, pick a color, and save.
4. Repeat for each stage you want.

There's no limit on the number of stages.

## Rename, recolor, or delete a Stage

1. Go to **Settings → Setup →** [**Transaction Stages**](https://app.nekst.com/settings/transactionstages).
2. Click the edit (pencil) icon on the row you want to change, or the delete (trash) icon to remove it.
3. Save your changes.

Deleting a Stage removes it from every transaction it was assigned to.

## Reorder your Stages

1. Go to **Settings → Setup →** [**Transaction Stages**](https://app.nekst.com/settings/transactionstages).
2. Drag a row up or down to change its position.
3. The order you set here is the order Stages appear in dropdowns and filters.

## Assign a Stage to a transaction

**From the Transactions list:**

1. Find the transaction's row.
2. Click the pill in the **Stage** column.
3. Pick a Stage from the dropdown (or pick **Clear** to remove it).

**From a transaction page:**

1. Open the transaction.
2. Click the Stage pill next to the project name in the page header.
3. Pick a Stage from the dropdown.

The pill is available on the main view, Details, Calendar, History, Documents, and Client Portal pages.

## Show or hide the Stage column

1. On the Transactions list, click the **Columns** dropdown.
2. Toggle **Stage** on or off.

## Filter the Transactions list by Stage

1. On the Transactions list, open the filter panel.
2. Expand the **Custom Stage** section.
3. Check the Stages you want to see (or check **No Stage** to include transactions without one assigned).

## Default-hide a Stage

Use this to keep stages like "Coming Soon" or "On Hold" out of view unless you explicitly want to see them.

1. Open the filter modal.
2. Set your default visibility for each Stage.
3. Save the default.

The default applies every time you load the Transactions list until you change it.

## See stages on the All Tasks page

Once you've assigned stages to your transactions, each task on the **All Tasks** page shows the stage of the transaction it belongs to — a colored dot and the stage name, right after the transaction name. It's there just so you can see which deal a task is part of at a glance.

A few things to know:

* Tasks on a transaction with **no stage** show nothing in that spot.
* The stage is **read-only** here. To change a transaction's stage, click its pill on the transaction itself.
* On the **All Tasks calendar**, the stage appears in the panel that opens when you click a task, not on the calendar squares.
* Stages show only where the transaction name already does — the All Tasks page and calendar. They aren't repeated inside a single transaction's own task list, where every task would carry the same stage.

## Filter the All Tasks page by Stage

1. On the **All Tasks** page, click **FILTER**.
2. Scroll to the **Transaction Stage** section.
3. Check the stages you want to see, or check **No Stage** to include tasks on transactions that haven't been given a stage yet.

The list narrows to match, and the task count and pages at the top update to the real filtered total — not just the page you're looking at. A chip appears above the list showing your selection; click its close button to clear it.

The Transaction Stage filter works alongside your other filters (assignee, due date, task type, flag, name) — a task shows only when it matches all of them. Use **Deselect All** / **Select All** to toggle every stage at once. Selecting no stages is the same as selecting all: no stage filtering is applied.

**Notes:**

* The **Transaction Stage** filter only appears once your team has at least one stage defined.
* Finding untriaged deals: filter to **No Stage** to surface every task on a transaction that hasn't been given a stage yet.

## Notes

* Custom Stages are for transactions only. To mark or filter individual **tasks** in a similar way, see [Task Flags](https://help.nekst.com/en-us/article/task-flags-mark-and-filter-individual-tasks-zpblu9/).
* Stages are team-wide — every member of your Nekst account sees the same Stages and the same assignments.
